Register and approve deals

A partner registers a deal in a few short steps. You review it, ask for more if you need to, then approve or reject it with a reason. This page covers both sides.

Before you begin

  • Partners: an invitation to a vendor's Airstride workspace. You register deals from the Deals page.
  • Vendors: someone on your team who will review new registrations. Pending deals are waiting on you until you decide.
  • Either side: the details of the prospect. Company, website and a contact there, plus the value and expected close date.
Step 1

Register the deal as a partner

Open Deals and choose Register Deal. If you work with more than one vendor, Airstride first asks which vendor the deal is for, then shows that vendor's form.

The form has three steps: Prospect, Deal Details and Qualification. Prospect covers the company, its website and your contact there. Deal Details covers the opportunity value and when you expect it to close. Qualification is the BANT questions: budget, authority, need and timing. Each vendor decides which fields appear and which are required, so yours may differ from the walkthrough.

Choose Register deal on the last step. The success screen says the deal is pending review and that you will be notified when it is approved. View Deal opens it, and Back to deals returns you to the list.

  3. Deal Details: the opportunity value and when you expect it to close.
  4. Qualification: the BANT questions. Budget, authority, need and timing.
  5. Choose Register deal.
  6. The deal is registered and waits for the vendor to review it.
Step 2

Review the deal as the vendor

A new registration shows as Pending Review. Open it and a banner tells you the deal is waiting on your decision, who submitted it and how long it has waited. Two warnings can appear above the actions.

  • Potential channel conflict: the account matches open registrations from another partner, with the highest match shown as a percentage. A link takes you to Channel Conflicts.
  • Possible existing opportunity: the prospect may already exist in your connected CRM, with the opportunity name and stage. A link opens it there.

Under Actions you can Approve deal, Reject deal or Request more info. Request more info opens a dialog where you write what is missing. The message goes to the partner user who submitted the deal, and the deal moves to Needs More Info.

The partner sees a banner on the deal saying you need more information, and uploads documents with a note. Once they do, you can decide.

  5. Choose Send request.
  6. The deal moves to Needs More Info while the partner uploads documents.
Step 3

Approve the deal

Choose Approve deal. The dialog shows the deal value for you to confirm, and you can correct it here. Stage is optional and starts on the deal's current stage, so leaving it alone approves the deal without moving it. Approval note is optional too: add context for the partner and your team.

Notify partner is on by default. It emails the partner contact that the deal was approved. Switch it off to approve quietly. Then choose Approve deal.

  4. Choose Approve deal.
  5. The deal is approved and the partner is told.
Step 4

Reject the deal with a reason

Choose Reject deal and pick the reason that fits.

  • Not a fit for our ICP: wrong size, geography, industry or maturity.
  • Budget not qualified: no confirmed budget, or below your threshold.
  • Duplicate registration: already registered by another partner or direct.
  • Timing: too early in the buying cycle.
  • Channel conflict: conflicts with an existing engagement.
  • Other: give the detail in the note.

Write a note to the partner. It is shared with them, so say what they should do next. Allow resubmission lets the partner address your feedback and re-register the deal. Choose Reject deal to finish.

What an approved deal becomes

An approved deal is a live deal in your pipeline. It carries the Approved status, which you can filter by, and you move it through your stages from there. Once it is approved and open, it shows under Closing this week on the Forecast view as its expected close date nears.

If Salesforce is connected with writing turned on, an approved deal is sent there. A rejected or pending deal is not. The deal's CRM Sync section says what happened if a send is refused.

Reading the pipeline you now have is the next job. See read your partner pipeline.

Where to go next

Common questions

What do the statuses mean?

Pending Review means the vendor has not decided yet. Needs More Info means the vendor has asked the partner for documents. Approved and Rejected are the two decisions. The status rail on the deals page also counts Expired and Withdrawn deals.

Is the registration form the same for every vendor?

No. Each vendor sets up its own form in Deal Configuration, so the fields, which of them are required and how they are grouped can differ. A partner who works with more than one vendor chooses the vendor first and sees that vendor's form.

Can a partner skip the typing if the deal is already in a CRM?

Where a CRM is connected, the first step offers Start faster: paste a link to the CRM opportunity, choose Auto-fill, and the prospect fields fill in. You can still edit them. If the link cannot be read, you are told and can fill the form in by hand.

Does the partner find out when I approve or reject?

Both dialogs have a Notify partner switch. For an approval it emails the partner contact that the deal was approved. For a rejection it emails the reason and your note. Either way the partner sees the new status and your note on the deal.

Can a partner try again after a rejection?

Only if you switched on Allow resubmission when you rejected it. That lets the partner address your feedback and re-register the deal.

Can I approve a deal without moving it to another stage?

Yes. The Stage picker starts on the deal's current stage. If you leave it alone, approving changes the status only and the deal stays where it is.

Does an approved deal reach Salesforce?

If Salesforce is connected and writing is turned on, an approved deal is sent there. Only an approved deal is sent. See connect Salesforce.
